WEATHER POLICY

At DC Eleven, the safety and well-being of our players are of the utmost importance to us. We want to ensure that our activities are conducted in a safe and comfortable environment. To this end, we have established the following weather policy:
1. Parks and Recreation Guidelines and Closures: We will closely monitor and adhere to the guidelines and closures set by the local Parks and Recreation Department. If the authorities close the Recreation Center or the grounds due to severe weather conditions, we will follow their instructions accordingly.

2. Severity of Weather: Our decision to cancel or proceed with activities will be based on the severity of the weather conditions. While we strive to provide an enjoyable experience for our players, safety will always be our top priority.
3. Lightning: In the event of lightning, we will immediately cancel all outdoor activities. We will ensure that players and staff seek shelter in designated safe areas until the threat has passed.
4. Heavy Rain and Unplayable Field: If heavy rain renders the playing field or outdoor areas unplayable, we may cancel or modify certain activities. This decision will be made to prevent accidents and maintain the safety of our players.
5. Normal Rain and Drizzles: For regular rain showers and drizzles, we will generally continue with our planned activities. We believe that some rain should not deter players from engaging in training and development. However, we will always prioritize the safety and comfort of our players, and if the rain becomes too heavy to ensure their well-being, we may modify or cancel activities accordingly.

6. Extreme Heat: Under extreme head conditions, we will provide additional water breaks, shaded rest areas, and modify activities to reduce exertion. We will also closely monitor campers for heat-related symptoms and adjust the schedule if necessary. NOAA: https://www.weather.gov/

7. Extreme Cold: At 32 degrees Fahrenheit or below, outdoor events will be canceled.
Notification Process:
- In the event of a weather-related cancellation or modification, we will promptly notify parents and guardians via email and event communication portal using the contact information provided during registration.
Please ensure that your contact information is up to date to receive timely notifications regarding any weather-related changes.

COVID-19
COVID-19 POLICY

1. Follow Local Guidelines: Players, coaches, staff, and spectators must comply with local health regulations and laws related to COVID-19.
2. Vaccination and Testing: Vaccination is strongly encouraged for eligible individuals. Testing may be required as advised by health authorities.
3. Health Screening: Everyone should self-monitor for symptoms and stay home if feeling unwell.
4. Hygiene Practices: Maintain good hygiene by washing hands frequently and practicing respiratory etiquette.
5. Face Coverings: Follow local guidelines regarding mask usage during club activities.
6. Physical Distancing: Maintain appropriate physical distance whenever possible.
7. Facility Sanitization: Enhance cleaning and sanitization protocols for club facilities.
8. Communication and Compliance: Stay informed about updates and comply with the club's COVID-19 policies.
AIR QUALITY
Air Quality Policy

With Canadian wildfire smoke threatening to impact our summer, DC XI has updated its policies to include guidelines for conducting outdoor activities moving forward. These updates are intended to provide clarity and transparency for families when the air quality index is elevated.
On green and yellow air quality days, programs will proceed as usual.
On orange air quality days, programs will proceed with reduced cardiovascular activity and frequent breaks. Children are encouraged to wear protective masks.
On red and purple air quality days, all outdoor programming will be canceled.

The safety of our players and coaches is our top concern. If your child has asthma or other conditions that could threaten their health on elevated air quality days, please use your discretion when deciding whether to send them to our program.

OTHER POLICIES
Financial Aid Policy
At DC Eleven Football Club, we are committed to providing opportunities for all players to participate in our programs, irrespective of financial circumstances. Our Financial Aid Policy is designed to assist those in need while considering both financial need and player merit.
Financial Aid Criteria:
1. Financial aid is awarded based on demonstrated financial need. Applicants must provide valid proof of financial hardship to be considered.
2. Merit Scholarships are also available, determined by the coaching staff through an in-house evaluation using specific criteria.

Aid Form:
Financial aid scholarships are granted in the form of program dues reduction only. No cash or direct payments will be provided.

Yearly Consideration:
Receiving financial aid in one year does not guarantee aid for the following year. Applicants must reapply each season, demonstrating continued need.

Interested individuals must submit a financial aid application along with supporting documentation to the DC Eleven Football Club. The application form can be obtained through our registration portal, if you do not see this while registering for the program, you may email us at fundraising@dcxiproject.com.
Play Footy Inc.:

Responsibility of Aid Recipients:
1. Aid recipients are expected to plan appropriately for program costs in subsequent years, making efforts to reduce reliance on financial aid.
2. Recipients should engage in open communication with the club regarding any changes in financial circumstances.

REFUND POLICY
At DC Eleven, we strive to provide exceptional service and ensure customer satisfaction. We understand that circumstances may arise where a refund or credit is necessary. To protect your interests and maintain a fair business relationship, we have developed the following refund policy:
1. Registration/Program Fees (Excluding Elite Academy):
a. Refunds requested before the start of the program:
- If a refund is requested at least 14 days before the program start date, we will provide a full refund of the registration fees.
- If a refund is requested within 7-13 days before the program start date, we will provide a 50% refund of the registration fees.
- Refund requests made less than 7 days before the program start date may not be eligible for a refund.
b. Credits:
- If a refund is not requested, we can provide a credit for the full amount paid, which can be applied towards future programs or merchandise (if available).
2. Elite Academy:
a. Early withdrawal from the program:
- If you withdraw prior to completing the year, there will be a 50% charge on the remaining balance, not including the balance of the current season.
- Special circumstances will be considered.
- No refunds will be issued in the middle of a season.
Please note:
- Refunds will be issued using the original method of payment, if possible.
- Any discounts or promotional offers applied during the initial purchase may not be applicable to future programs or merchandise when utilizing credits.
- Refund or credit requests must be made in writing via email to our customer support team at support@dcxiproject.com.

- Financial and Transaction Data: Payment details processed through trusted third-party vendors (e.g., Square, Stripe, or PlayMetrics).

- Media and Marketing Data: Photos, videos, and social media posts used for promotional purposes with prior consent.

Text Messaging Clause:
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Promotional texts may also be sent based on expressed user interests or prior participation in DCXI programs. Participants may opt out of receiving SMS communications at any time by following the unsubscribe instructions provided in messages.
